We were approached by a world leading higher education institute to manage a three tier project consisting of:
- 800 seat head office relocation and consolidation
- Migration to new desktop hardware and operating system environment
- Creation of flexible working practices
Key challenges
A fundamental requirement for the customer was that the above work streams were to happen simultaneously, so our meticulous approach to planning was imperative to enable the success of the project.
Many of the customer’s staff had been working in the institution for a number of years and the promotion of change needed to be handled sensitively.
What we did
Our team worked with the client to plan and deploy the IT, Telephony and Audio Visual infrastructure in readiness for building occupation. We then supported the client through a programme of departmental moves into the new premisses. Ultmately moving 800 staff into the new location.
To support the organisations transition to flexible working we provided a continuous staff liaison programme to ensure that job roles suitable for flexible working were accurately identified, encompassing departmental managers with the skills to help address any of their staff’s concerns. We targeted a 1:1.2 desk to staff working ratio for Phase One, with the intention of increasing this as the organisation becomes more familar with the new working practices.
We provided each flexible working “neighbourhood” in the buildings with a standard flexible working desk setup including a VoIP phone and a universal port replicator to ensure that the customer was not committed to future purchases of the same make/model of laptop and to allow both Windows and Apple Mac laptops to be used.
Our deployment team were on site to provide post go live support and a series of project review sessions to gather any lessons learnt and determine if the bespoke flexible working strategy required any further tweaking for optimal use in the customers’ working environment
